A value changed in software does not prove that a party exercised an option through the required channel or that the required recipient received it. Preserve the option, election, delivery, receipt, disposition, and resulting lease version as one reconstructable chain.

Anchor the option to the executed lease version
Sage presents Sage 300 Construction and Real Estate for contractors, developers, and property managers. Its current page says static lease documents can become dynamic sources of information and refers to flexible lease options and property detail. That supports a provider-positioned property-management context. It does not establish which lease is controlling, what an option means, whether its conditions were met, or whether an exercise was valid for a particular property and party.
Create an option record tied to the executed lease and exact governing version. Preserve the property, premises or unit, lessor, lessee, eligible exercising party, option type as determined by accountable owners, clause and document reference, amendment chain, window opening and closing date, controlling timezone, prerequisites, permitted channel, notice address or recipient, required form or attachments, and responsible internal owner. Store the source document and immutable excerpt or reference used for the decision. If interpretation is uncertain or documents conflict, mark the record unresolved and route it to qualified owners rather than converting a software field into a legal conclusion.
Separate election, delivery, receipt, and disposition
The election record should identify the option, electing party, exact decision expressed, authority evidence, approval time, authorized signer or sender, final notice artifact, content hash, and any attachments. Preserve the notice as sent; later corrections or supplements should become related records rather than edits to the original. A drafted notice, approved internal task, calendar reminder, or checked option field does not prove external transmission.
Delivery and receipt need their own states. Record channel, destination, sender, send time, carrier or service identifier where applicable, delivery attempt, delivery confirmation, receiving person or system, receipt time, rejection, forwarding, failed delivery, and retained evidence. Conversely, once an authorized decision is effective, downstream systems should not retain an unexplained former term. Maintain an exception queue for missing lease versions, ambiguous option windows, authority gaps, delivery failures, conflicting notices, unresolved receipt, disputed acceptance, and values changed without the exercise chain. Closure requires an accountable disposition and traceable resulting version, not a green task status.
Test the option chain at its hardest boundaries
A buyer demonstration should create one option from an executed lease, exercise it too early, exercise it on the final permitted day, send it to the wrong recipient, use the wrong channel, amend the lease after the option record is created, introduce conflicting elections, fail delivery, attempt a withdrawal, and change a lease value without receipt evidence. Reviewers should reconstruct the controlling lease version, window, party, authority, notice artifact, delivery and receipt chronology, disposition, exceptions, and resulting effective values without overwriting the prior state.

A defensible review also identifies the dependency outside the product. Authority interpretation, policy configuration, data quality, integrations, human judgment, approval rights, release governance, training, and retained evidence may remain customer or service responsibilities. The evaluation should preserve those boundaries instead of treating a technology claim as the complete operating model.
